Job Responsibilities: The purpose of this position is to provide administrative and secretarial support to the Administrator of Pupil Personnel, Assistant Directors and other professional staff by maintaining in and out of district special education student records; by assuring that matters are processed and recorded in a timely manner and according to applicable requirements; by initiating the preparation of various lists, rosters and registers; by preparing and producing correspondence and reports; and by tracking the expenditure of various funds for special education related services.  A Secretary in Special Education is responsible for maintaining and improving upon the efficiency and effectiveness of all areas under his/her direction and control. Maintains related records and reports; prepares, maintains, files, retrieves, and disseminates special education student records; monitors records for timeliness, information accuracy and completeness; prepares reports for the Director and others regarding student placement and programs. Maintains and monitors one or more special education funds or accounts (e.g. federal grants) including payroll, requisitions, payments and account balances; produces related reports; maintains budget details, accounts and summaries, monitors expenditures.  Assists with the preparation of the annual budget.  Works with the police and others to provide for student safety as necessary.  Monitors IEPs and other confidential records for timeliness and completeness; makes administrative corrections as appropriate; assists with assuring that all special education mandated timelines are met.  Maintains inventories of special education supplies, software, adaptive equipment, and other materials used by special education students, the professional staff and others assisting with special education requirements.  Follows assistive technology consult directives regarding software or adaptive equipment of students. Maintains the Rediaker and other student data bases regarding special education students; prepares various reports for the department staff, principals, the Assistant Superintendent and Superintendent of Schools.  Assists the Assistant Director and Program Coordinator regarding summer programs, parent notices, transportation, teaching supplies and assistive technology.  Schedules appointments, prepares correspondence and initiates communications with parents and others for the professional staff. Prepares correspondence and forms for signature by the Director and other professional staff. Screens incoming mail for appropriate distribution.  Assists with the preparation of the annual budget.  Performs similar or related work as required or as the situation dictates. This is a provisional Civil Service position. If selected, you would be required to take the next civil service clerical exam and score within the top three scores.  Per M.G.L., Ch. 31, “no provisional employment in a position shall be authorized, approved, or continued for more than thirty days following a certification from an eligible list if such list contains the names of three persons eligible for and willing to accept appointment to such position”. Qualifications: Applicants for this position must have graduated from an accredited high school or possess a GED, have more than three years of clerical, secretarial, or office administration experience.  Applicant must pass appropriate civil service test and the use of Word and Excel.  Must successfully pass a Criminal Offenders Record Information (CORI), background check, fingerprinting, and pre-employment physical with drug, alcohol and lift test.  Fingerprinting is the selected candidates responsibility.

Rate of pay:  $44222 yr.  Excellent benefits  This is a full time, 12 month position.
