Permits & Request Forms

The City of Waltham has made significant financial investments to upgrade existing athletic fields and recreational facilities. Capital funds have also been allocated to construct additional athletic fields to meet the needs and demands for superior playing conditions by organized groups for recreational and competitive sports. It is a constant challenge to balance meeting the needs of Waltham groups and necessity of time for proper maintenance.

A permit is required to receive authorization to utilize many fields by an organized group.

If you are interested in reserving a particular athletic field or facility for an organized group, completion of an application is required. The permit application explains the process and policies and procedures of the Recreation Board.

Beginning April 1, 2024

Pavilions are available on a first come first serve basis. 
Organized groups are only allowed at permitted locations.  Organized groups/activities are not permitted without a permit or Waltham Recreation Department approval.

If you are interested in reserving a pavilion, you must obtain a pavilion permit. Pavilion Permits are issued between April and October. 

Rules and Regulations

  • Pavilion Permits are a four-hour reservation.
  • Maximum number of guests for a pavilion reservation is limited to 25 individuals.
  • No alcohol or drug use on City of Waltham property.
  • Barbecue grills, located at Prospect Hill Park’s Base Area are available. This is the only location within City of Waltham parks that allows grilling or open fires. 
  • The schedule for the Amusement's at Prospect Hill Park is released the last day of each month.  Base Area pavilion reservation does not guarantee the availability of the Amusements.
  • Outside vendors or rentals are not permitted with a pavilion permit reservation.
  • A comfort station (environmentally friendly restroom) is located within Prospect Hill Park at the Summer House as well as in the Base Area. Seasonal portable bathrooms will be available at other locations where picnic permits are available. 
  • Groups are responsible for removing their own trash from the pavilion areas and leaving the area clean for the next group.

Residents can make reservations a maximum of two months in advance (ex. September 15th for a November 15th) and must be booked a minimum of five days prior online.  Groups larger than 25 individuals can send a letter of request for a special event to the Director of Recreation. 

In the event you need to reschedule due to weather etc., an alternate date may be available.   It is the responsibility of the permit holder to notify the Recreation Department, by noon the Wednesday prior, to be eligible for an alternate date.  No refunds will be provided.  Any change of date will be subject to a $10.00 administrative fee.  At the discretion of the Director of Recreation, a credit on account can be issued if no alternate date is available.

The Director of Recreation, reserves the right to reject permit requests due to previous misconduct.

4. Recreation Dedication Policy and Procedure Top of Page

Please click the link below and complete the application for a request for dedication.  When completed please return the application packet and required supporting information to the Recreation Department. Completed packets will be reviewed by the Dedication Subcommittee in November, February and May annually.
